The Queensland Greens are currently in a transition phase following the election of Larissa Waters to the Senate and strong growth in membership. This success has resulted in increased demands on the office staff for the maintenance of records, support of branches statewide, and support for our senator-elect prior to her taking up her Senate seat in June 2011.

The Queensland Greens are seeking a part-time office team member to assist in the smooth running of the party’s central office in Albion on a part-time continuing casual basis for 20 hours per week.

This position is in addition to an existing part-time office staffer and a part-time financial administrator, and will enable the Queensland Greens to maintain an office presence during business hours.

The position will finish on 30 June 2011. While of the functions of this position are transitional, the core role is likely to be ongoing subject to resourcing decisions. Should the position become ongoing, the responsibilities may be redirected to the development of campaign material and to providing increased support for branches as we move into a next state election cycle. The position will be reviewed prior to the completion of the contract and is likely to be readvertised subject to the outcomes of this review.  

The successful applicant will report directly to the Management Committee (Mancom) via the Mancom office coordinator and will be required to coordinate workloads with the other paid positions and volunteers. The new position is intended to allow for continuity of office functions by multi-skilling and by ensuring overlap with the roles of the existing office manager.

Conditions

The part-time position is for 20 hours per week with remuneration of $25.00 per hour including superannuation. 

Rostering is subject to negotiation, but attendance during office hours is required. Rostering must be ratified by the Mancom office coordinator in advance.

The office may be relocated sometime in 2011, but easy access via public transport will remain a key criterion. 

Role

The functions of this position include:

  • Assist in the efficient running of the Queensland Greens office including:

    • Maintain a record of correspondence including the collection of mail from the post office box, and answering telephone and email enquiries

    • Refer correspondence to the appropriate recipient, track and record the outcomes of each item of correspondence

    • Develop a working manual of all office procedures to ensure continuity and efficient management practices

    • Develop a filing system to organise existing resources, such as examples of election campaign materials, issues-based information resources and formal documents and agreements

    • Establish an electronic database to file important documents and records and scan and file important records

    • Organise the volunteers database to merge information collected during past campaigns and by branches

    • Attend the meetings of the body corporate of our building and report back to ManCom

    • Have a working knowledge of the tasks of other staffers

 

  • Provide a support structure for branches across the state by:

    • Keeping in regular contact with branches to collect volunteer information and assist in the maintenance of membership records

    • Assisting in locating resources to support the activities of the branches

    • Preparing and disseminating information to branches as directed by Mancom

 

  • Assist the senator-elect prior to the establishment of a dedicated office in 2011 by

    • Screening phone calls, emails and mail to allow the senator-elect to prioritise activities and refer those tasks that do not require the senator-elect to respond personally

    • Maintaining a diary for the senator-elect including booking travel and meetings as required

    • Providing clerical support as required

Selection Criteria

  1. Working knowledge of the policies, code of ethics and charter of the Queensland Greens.

  2. Competency in the use of computer programs including Microsoft Office and MYOB. Familiarity with database operation is a benefit.

  3. Well developed communications skills including a pleasant and effective telephone manner, written communication and basic negotiation.

  4. Well developed interpersonal skills with a proven ability to work independently as well as part of a team.
